The difference between a courier service and a freight service in the U.K.
We’ve seen situations where customers needed to know what services they wanted to use. For example, they often need clarification on courier and freight services.
One of the differences is the time it takes. Generally, shipping from the U.K. takes 2-5 working days (depending on the destination location). Transportation takes2-3 business days from the day of the flight.
So when you use a U.K. courier, you get door-to-door delivery, U.K. customs clearance, air freight to your destination and door-to-door customs clearance (customs duties are not included in your delivery). Alternatively, a freight service offers air freight and airport delivery.
The courier service is also more expensive than the other two services. Freight services are relatively cheaper. This is a standard transfer method, so the freight service is better suited for bulk cargo and excess baggage shipments.
However, you can also use the courier service for sending small parcels and shipments. Weight limits are another difference. The carrier has a weight limit per box; you can only send the package if you are within it.
Where a Freight services severely limits these restrictions, which generally means you can ship heavy parcels, even if they are of an unusual shape (but the packaging must be suitable).
Why do I have to pay for a parcel from the U.K.?
As the U.K. became a so-called “third country” after leaving the E.U., it is no longer part of the European Customs Union. As a result, the free movement of goods is no longer possible, and export and import declarations must be submitted.
VAT is still due on this. If the seller does not bear these costs, the buyer (the package recipient) must pay these costs.
The faster you pay the outstanding amount, the faster the package can be delivered. The final payment term is six days. In case of non-payment of the expenses within this term, the package will be returned to the sender.
Import air freight to Kenya? Here are eight steps to follow for customs clearance
You are clear about your new job responsibilities as an expat in Kenya. You may even be a returning resident finally ready to return home after working in the diaspora for several years.
Since you already have household and personal items where you currently live, you can import them into Kenya. This way, you won’t have to buy everything you need when you settle in the country.
You can bring a batch of your used household items into the country tax-free. And while it’s not guaranteed, the Commissioner of Customs can even authorize further duty-free shipments into the country in writing.
But before we assume that you can just as easily import anything you want into Kenya, we recommend that you catch up on some essential information about moving to Kenya.
Now you can use air, sea or surface resources to ensure the arrival of your shipment.
But while you can enjoy a very short transit time when importing air shipments to Kenya, be prepared to pay very high port warehousing charges if preliminary customs clearance still needs to be done.
If you opt for shipments by air, you will notice that customs clearance is mainly done through the Integrated Customs Management System (iCMS).
Here’s what to expect when you start importing air shipments to Kenya:
1. Before you can import household goods and personal effects duty-free, certain conditions must be met
2. Your shipment must be pre-cleared before being transported by air
3. Freight must be manifested in iCMS before air shipment
4. Payment of the railway development fee is mandatory
5. Expect 100% physical verification of your cargo
6. Scanned copies of the necessary documents are sufficient
7. Pre-approval by the Commissioner of Customs is required for air and sea shipments
8. Delivery can be scheduled once release is granted
All items imported into Kenya must be cleared by the Kenya Revenue Agency (KRA) upon arrival, regardless of whether they arrived by air or sea.
Diplomats or newcomers, such as expatriates entering Kenya with a new employment contract, are exempt from paying household goods and personal effects taxes.
Returning residents, on the other hand, must prove that they have lived outside Kenya for the last two years with their passports if they want to be exempt from paying duty on their personal and household effects.
Other conditions include:
• Expatriates must have a real work permit valid for at least two years
• Diplomats have to work out a tax exemption known as PRO 1B for personal belongings, while semi-diplomats get DA1
• First comers (ex-pats) must transport their household belongings from their home port within 90 days of the date of issue of the work permit
• Returning residents must send their goods and personal effects within 90 days of the date of entry
• The 90-day period within which household goods and personal effects must be brought into the country can only be extended in writing by the Commissioner of Customs
• Individuals claiming tax exemptions must have a copy of their KRA PIN activated at KenTrade
• Returning residents must also have their KRA PIN active on the tax Online Services portal
You may not sell, rent or otherwise dispose of used household and personal items you brought duty-free into Kenya.
2. Your shipment must be pre-cleared before being transported by air
Before your shipment can be transported by air, it must go through a customs clearance process, requiring you to submit an Import Declaration Form (IDF) and obtain an exemption code and approval.
Completing this pre-clearance process ensures that the mover of your choice can take advantage of the free 2-day storage for customs clearance of the shipment. It also saves you the inconvenience of port warehousing costs which can add up quickly.
Port warehousing charges are of billable daily shipment weight. Billable weight is the actual or dimensional weight of the package, whichever is greater.
Please note that it is almost impossible to avoid storage costs if your shipment is not pre-cleared before being sent to Kenya.
It usually takes about 4-6 days to complete the pre-approval process. This is when the shipment must be held in the country of origin before being transported by air.
3. Freight must be manifested in iCMS before air shipment
KRA uses Integrated Customs Management Systems (iCMS) to seamlessly connect its internal systems with those of external stakeholders to expedite the clearance of goods.
Various customs clearance documents need to be submitted via iCMS, including:
• Import Declaration Forms (IDF)
• Exemptions
• Packing list
• Inventories valued in foreign currency
• Copy of passport and Kenya entry stamp profile pages (with the date of arrival)
Your broker must register your cargo in the iCMS and submit the customs declaration before it is transported by air to Kenya.
A qualified customs broker can process your import documents in the customs system and help you clear the goods through customs.
4. Payment of the railway development fee is mandatory
The Railway Development Levy (RDL) is payable on all non-diplomatic shipments entering Kenya.
The Railway Development Levy of 2% is levied on the customs value of your imports.
Once the importer has paid the required fees and provided his customs officer with official bank statements, Customs will proceed and process all compliant declarations.
5. Expect 100% physical verification of your cargo
If you are not a diplomat, your shipment is 100% physically checked by various government agencies.
Diplomatic shipments are exempt from inspection thanks to the Vienna Convention on Diplomatic Relations (VCDR). However, customs clearance of diplomatic shipments requires a PRO 1B form approved by the Ministry of Foreign Affairs.
Even if the diplomatic cargo is not physically inspected, it must still be observed to confirm that it is in the customs territory.
6. Scanned copies of the necessary documents are sufficient
For air shipments, scanned copies of the required documents will suffice. However, original documents may be requested at the discretion of the customs officer.
First movers and returning residents need the following documents to ship their cargo:
• A copy of your passport
• Copy of residence visa/work permit
• KRA PIN certificate
• Original air waybill
• Detailed value inventory
• Letter of authorization appointing a customs broker authorized to act on their behalf
Diplomats, on the other hand, need to:
• A copy of your passport
• PRO 1B modules
• PRO 1A forms (when importing alcohol)
• Detailed inventory
• KRA PIN certificate
It should be noted that diplomats must have arrived in Kenya in advance to process their PRO 1B forms.
7. Pre-approval by the Commissioner of Customs is required for air and sea shipments
You can get the rest of your domestic goods into Kenya by sea while you import some by air.
However, to ensure that your usually smaller air shipment is not subject to customs duties, get prior written approval from the Commissioner of Customs to import it with your ocean freight shipment.
While that approval will have volume/size restrictions, it is a privilege to have the ability to import two separate domestic shipments into the country.
Kenya only allows one duty-free shipment into the country unless you can provide compelling reasons to allow an exception. You are encouraged to try it, although be aware that there are no guarantees.
8. Delivery can be scheduled once release is granted
Once your shipment has been inspected or observed, clearance is granted online. The goods can leave the customs area only after the release has been granted.
Assuming all goes well (including completing the authorization process), the entire authorization process will take about two days.
Once your cargo has been cleared for clearance from the customs area, delivery can be scheduled to your front door.
The customs clearance process for the shipment, therefore, typically includes the following:
• IDF sending and processing
• Make customs declarations and process the corresponding payments
• Physical verification of goods
• Approval and release of declarations of conformity
Make sure you have contacted reputable and professional movers to ensure your shipment is safe on the last mile to your chosen location.
Insider tip: Ensure you are very clear with your shipper or destination agent about the differences in requirements, especially regarding air and sea shipments, before importing air shipments into Kenya.

Why is international shipping so expensive?
International shipping usually costs more than domestic delivery due to the additional steps the package must go through before reaching its destination.
Deliveries that remain in the U.K. are usually taken by road to a depot where parcels are sorted by destination. Then another driver takes the packages from the depot to a particular city and delivers them.
On the other hand, international deliveries involve a lot of extra work. Packages pass through a depot before being transported to an airport to be loaded onto a cargo plane.
The plane then takes all the boxes to the country in question, where each package has to go through customs for inspection. Once the packages have cleared customs, the package is passed on to the next carrier to complete the last leg of the journey.
Of course, all this extra work must be factored into a carrier’s pricing. It is also worth considering the additional costs incurred in customs duties if you are shipping outside the European Union.
But the most significant reason shippers have to pay surprisingly high fees is that they have yet to choose the ideal carrier. More than anything, who you ship your package with will affect the overall cost.
